We are seeking a highly organised Customer Service Coordinator to take ownership of the Order-to-Delivery process from the moment a customer Purchase Order is received through to final invoicing and close-out. To support this next chapter, they are seeking an experienced Customer Service Coordinator who can bring structure, discipline, and clarity to order planning and delivery execution. The Role This role is the single point of accountability for managing customer orders once a Purchase Order is received. You will balance customer commitments with workshop capacity, material availability, documentation, and quality requirements to ensure reliable, on-time delivery. As the business continues to grow, you will play a key role in establishing scalable planning, documentation, and communication practices that support increased order volumes and future expansion. This position will suit a customer service, administration, or scheduling professional with strong attention to detail and a customer-first mindset, who enjoys working cross-functionally and bringing order to complex workflows. You will work closely with Sales, Operations, Supply Chain, Quality, and Finance to ensure customer commitments are accurately planned, communicated, and delivered. Key Responsibilities Validate customer Purchase Orders and convert quotes to sales orders in ERP (Syteline) Own order planning, scheduling, and prioritisation in line with customer due dates Coordinate with workshop and operations teams to balance capacity, materials, and delivery commitments Control and approve changes to delivery dates, priorities, or scope Monitor order progress and proactively manage delivery risks Provide clear, timely customer communication and order status updates Manage materials, vendor documentation, MDRs, and quality records Coordinate delivery, invoicing, and order close-out Maintain ERP data accuracy and support reporting and continuous improvement initiatives About You Strong understanding of Order-to-Delivery or production planning workflows Experience coordinating between Sales, Operations, and Customers High attention to detail with disciplined ERP data management Ability to manage competing priorities while meeting delivery commitments Confident communicator with strong stakeholder management skills Desirable: Experience using ERP Syteline Exposure to workshop, manufacturing, or service operations Awareness of ISO 9001 and/or NATA documentation requirements What’s on Offer Base salary of $85,000 Super Supportive team within a well-structured organisation Opportunities for career development and additional training Apply directly or contact Chris Minehan on 0477 297 722 for a confidential discussion.
